West Section Office Manager – Chicopee Office
This position provides administrative support to the Section Director, Associate Section Directors and local Special Olympics programs and volunteers as well as keeping the day to day operations of the office functioning smoothly. Overseeing the registration process and donor relations using databases and excel are the key responsibilities of this position. Some nights and weekends (including possible overnights) required. Supervisor: Section Director Oversight of various databases which requires proficiency in most Microsoft Applications i.e., MS Word, Excel, Access and PowerPoint. These include:
* Athlete, volunteer, coach & family data for SOMA Games Management Software * Registrations for Tournaments * Contributors data base * Mailings and reporting
Local Program support and registration * Receive, proofread, correct and process all training and registration forms from local programs * Communicate needs with volunteers, coaches, local programs and section office personnel regarding registration, medical, transportation, and housing needs * Attend and present registration materials at Coaches Meetings * Run all necessary reports * Obtain, enter and maintain records of all applications for volunteers and participants * Maintain and disseminate Local Program accounts * Attend Section and state events as administrative support and as needed
General Office Management: * Filing, phone calls, office organization * Maintain all applications for volunteers and participants * Maintain and update West Section Website using Front Page and Social media pages Coordinate volunteers and interns for office related assistance * Send donation thank you letters * Oversee section invoices and deposits * Coordinate and prepare special events packets * Perform any other duties that may be assigned by the Section Director. Qualifications:
* Strong Computer skills (MS Word, Excel, Powerpoint, Publisher) with ability to learn SOMA databases: GMS, VSYS, Blackbaud’s Sphere & Raisers’ Edge * Training or practical experience working with individuals with intellectual disabilities desired * Demonstrated proficiency in the following skills:
Team player Oral and written communications Customer service Basic accounting & banking functions Working knowledge of websites and social media Organizational/reporting Ability to work some evening and weekend events (including possible overnights)
